CRM Account List (Basic): Filter, Export, Pending Activation

On TaxDome, an organized, filterable cloud-based account list allows you to quickly glimpse everything you need to know about your accounts, such as the status of your client documents, invoices, tasks, emails, and more.

Clients are the best asset of any business, so we know you need to be able to easily track them to give them the best possible experience. To get an overall picture of all your accounts, go to Clients from the left sidebar to view what’s happening on the All Accounts page.

The entire client account list is available to a firm owner, Admin, or any employee with access rights to view all accounts. Otherwise, team members see only the accounts assigned to them.

On the All Accounts page, you see this essential information about each account:

  • ID: the unique ID. See more about Client IDs below.
  • Name: the client’s first and last name or the name of their business.
  • Follow: your following status. For more details, go here.
  • Invoices: the total amount of invoices the client has received since they began using your services.
  • Credits: the amount of money available that can be applied to the client’s new invoices.
  • Tasks: the number of tasks to be performed for the client.
  • Team: the names of team members who have access to the client.
  • Tags: the internal labels that help filter the account list.
  • Contracts: the number of pending contracts sent to the client.
  • Messages: the number of unresolved messages sent to the client, in unread or active status.
  • Organizers: the number of pending organizers sent to the client.
  • Signatures: the number of pending signature requests sent to the client.
  • Last Login: the date and time the client last logged in to TaxDome. If the account has multiple users, it shows the date and time the last user logged in.

Sort a list when you need to: Click the up-down arrow next to the header of the column you want to sort.

Searching for Accounts

To search for a specific account using a keyword from any field:

  • Use global search from any page: click the search button on the left sidebar, type in the search field, then navigate to the Accounts tab.

  • In the top left of the Accounts section, click on the search button. In the slide-out, enter the keyword into the search field, then press enter on your keyboard. The account list is narrowed accordingly. Click the x in the search field to clear it.

Filtering Account List

Filters help you sift through a long list of client accounts to find the ones belonging to a particular group. For example, you may need to find all client accounts that are managed by a team member, don’t have a login, have overdue invoices or tasks, or contain documents that need to be approved. All filters are reusable and could be saved as templates. Read more on using filters in the article.

To filter your client account list, click the FILTER button on the far right of the menu bar.

The menu includes these filters:

  • Team: Select the names of one or more team members to see only their assigned accounts.
  • Pipelines: Select one or more pipelines to see only the client accounts that have jobs in them. Select a specific pipeline stage to narrow the results further. Or select several stages from different pipelines.
  • Invoices: Select All, Paid, or Unpaid. When you select Unpaid, you’re given the option to also display whether they are in Overdue status.
  • Messages: Select one option:
    • All: all accounts that have at least one message thread.
    • Active: all accounts that have active message threads.
    • Unread: all accounts that have unread message threads.
    • Archived: All accounts that have archived message threads.
  • Imported at: Select the date and time the accounts were imported.
  • Tasks: Select All or Overdue (the due date has expired).
  • Tags: Select either Contains or Does not contain, then choose the tags. For more details, go here. You can also quickly filter an account list by clicking on any tag in the TAGS column to see all accounts with that selected tag.
  • Last Login: Select All, This Week, This Month, This Year, or Never.
  • Login Status: Select Active or Offline.
  • Approvals: Select All or Pending.
  • Organizers: Select one option:
    • All: all accounts belonging to clients with organizers.
    • Pending: all accounts belonging to clients that have pending organizers that are active.
    • Finished: all accounts belonging to clients that have finished organizers that are active.
    • Active: all accounts belonging to clients that have active organizers, either partly or fully completed.
    • Archived: all accounts belonging to clients that have archived organizers, either partly or fully completed.
  • Contracts: .Select one option:
    • All: all accounts belonging to clients with contracts.
    • Pending: all accounts belonging to clients that have pending contracts.
    • Partially Signed: all accounts that have contracts signed by at least one user of the account.
  • Signatures: Select one option:
    • All: all accounts belonging to clients with documents with requested signatures.
    • Signed: all accounts belonging to clients with documents signed by all users of the account.
    • Partially Signed: all accounts belonging to clients with documents signed by at least one user of the account.
    • Pending Signature: all accounts belonging to clients with documents not signed by at least one user of the account.
    • Prepared for Signature: all accounts belonging to clients with documents with added signature fields that have not yet been sent to the account users.
    • Opted Out: all accounts belonging to clients with documents not signed by all users of the account because they have declined to.
    • Pending KBA: all accounts belonging to clients with documents with KBA that have at least one user of the account who still needs to sign.
    • KBA Failed: all accounts belonging to clients with documents that have at least one user of the account who has failed the KBA and/or additional users who declined to sign.

Exporting Account List

To export your client account list to a CSV file, click Export Accounts. This will save all your account data including custom CRM fields.

An account list can be exported by a firm owner, Admin, or any employee with access rights to manage accounts.

Feel free to leave the page once the export is completed, you’ll receive an email with an attached zipped CSV file.

Tip! Filter your account list before exporting it to a CSV file to narrow it down to only the ones you need.

Printing Account List

To print an account list, click the Print button at the top right of the page.

By default, the account list displays 25 per page. If you want to print more accounts select the number you’d prefer in the Rows per page menu at the bottom left of the page prior to printing.

Your browser will offer you to print the list. This will include the current date and time.

Pending Activation and Resending Invitations

Once you’ve invited a client to use their TaxDome portal or an additional user has been added to an existing account, TaxDome automatically sends that client an email requesting them to activate their account.

Until a user activates their account and creates a password, their email address remains on the Pending Activation page. Go to Clients, then to the Pending Activation page to see which clients haven’t yet activated their accounts.

Here, you’ll find this essential information:

  • EMAIL: the email address of the client who hasn’t yet activated the account. If an email address is invalid, it is followed by a red exclamation mark.
  • ACCOUNT(S): the name of the client account. If a user has several accounts, they are all displayed.
  • INVITE SENT: the date the invitation to activate the account went out. Click the up-down arrow to sort the column by date.
  • INVITED BY: the name of the person (either a team member or client) who has added the user.

If a user has been on the Pending Activation page for a long time, you can resend an invitation. Or if you disabled the option to send out an invitation to activate an account while importing an account list, send one at any time. Here’s how:

1. Go to Clients from the left sidebar, then to the Pending Activation page.

2. Select the checkboxes to the left of the users you want to resend invitations to, then click Resend to Selected.

By default, the Pending Activation list displays 25 user email addresses per page. But you can choose to view 50, 100, or 250 at a time. Select the number you’d prefer in the Rows per page menu at the bottom left of the page.
